Ten Tips for Putting on Your Event

  1. Objective/Purpose
    What do you want to achieve? How many people do you want to attend? This informs the event “brief” for when you start filling out your Start a Project form.
  2. Build a team
    You are the event producer with support coming from students and staff. Surround yourself with people who are on the same page and bring varying skills to the project.
  3. Find a suitable platform
    We have done research on this and have many options to choose from to stream events live or pre-recorded events.
  4. Develop a budget early
    Get it signed off by your Committee or Students’ Council. Always source quotes in writing and use our budget template if you need. Let us know if you seek sponsorship or giveaways.
  5. Be organised and plan!
    Write a timeline, and talk to Comms to get a sense of what lies ahead. Lock in suppliers and contractors early. The importance of good time management and forward planning cannot be overstated when it comes to event planning.
  6. Identify potential risks or hazards
    Work out solutions that mitigate these risks so you can ensure your event is compliant. We will guide you through these tasks to prepare a risk assessment.
  7. Is your event accessible and inclusive? 
    Consider possible barriers people might face when accessing your event. Are you adhering to their needs and using sustainable resources?
  8. Spread the word!
    Think of the target audience you would like to come and how you will reach them. The more time you dedicate to promoting your event, the more likely people will attend! Check out our Comms Resources for more info.
  9. Event day 
    Test your technology pre event. Having a schedule helps you stay on track!
  10. Review
    What worked and what didn’t? Gather feedback from stakeholders and write a report with recommendations so department events can be improved next time.
