Hey Robopals! 

It is once again time to elect who will represent you on the committee in the next year. You are invited to attend, and nominate and/or vote at our upcoming AGM. Please note that all roles (described below) will also be open to nomination on the day! If you're super keen and know what role you'll be nominating for on the day, please email melbourne.secretary@robogals.org.au first and let me know in advance which role you will be going for - although you are more than welcome to self nominate on the day.

The AGM will be dual delivery - held in person and via Zoom! 

Roles:

We will be conducting elections for all executive roles!

President

  • Assisting the team in setting and achieving their goals

  •  Keeping track of progress towards goals

  • Providing assistance to team members

  • Creating and maintaining a sense of team

  • Informing the chapter of news from Global and Regional teams

  • Strong leadership and communication skills preferred. 

  • Prior experience in Robogals is preferred but not essential. 

Vice President

  • Assisting the General Committee in setting and achieving their goals

  • Keeping track of progress towards goals

  • Providing assistance to the President

  • Strong leadership and communication skills preferred. 

  • Prior experience in Robogals is preferred but not essential. 

Treasurer

  • Financial reporting, administration and bookkeeping

  • Managing the accounts and financial strategy of the chapter

  • Attending UMSU training

  • Managing the tax responsibilities for the chapter

  • Reimbursing volunteers for various expenditures

  • Applying for Grants with UMSU, MSE and other relevant organisations

  • Prior experience with financial management is preferred but not essential. 

Secretary

  • Leading the discussion for committee meetings

  • Taking minutes at meetings

  • Managing registration and membership of members

  • Preparation and distribution of newsletters

  • Liaising with UMSU

  • Attending UMSU training

  • Updating volunteer hours

  • Prior experience with UMSU procedures is preferred but not essential.

Partnerships Manager and Officer** (2) 

  • Serve as a link between the chapter and external organisations

  • Both initiate and maintain strong relationships with these parties

  • Attend industry events to represent Robogals in a professional setting

  • Support other team members where necessary 

  • Organise industry/professional development events

  • Prior experience writing proposals and fostering partnerships preferred but not essential.  

Marketing Manager and Officer** (2) 

  • Coordinating with other managers (particularly the events manager) to maintain volunteer engagement and attract new volunteers

  • Produce flyers, posters, banners, images and other graphics for general information and specific events

  • Keep social media accurate and up to date

  • Actively work to increase the volunteer base through promotion of Robogals to the student body and other potential volunteers

  • Experience with Adobe Creative Suite, Canva and media and publicity preferred but not essential.  

Events Manager

  • Implementing strategies with the Marketing Manager to maintain volunteer engagement including social events 

  • Attending and organising stalls and booths at festivals and expos to promote Robogals to schools, libraries and potential clientele

  • Organising the logistics and the details pertaining to Robogals Melbourne social events

  • Experience with event management, and publicity preferred but not essential.  

Training Manager and Officer** (2) 

  • Coordinating with the Marketing Manager and Events Manager to attract and manage new volunteers

  • Managing the logistics behind training sessions; room bookings etc.

  • Equipping students with workshop content knowledge and teaching skills

  • Accurate record keeping of volunteer details and statuses from which other members of the team are able to refer to 

  • Planning out lessons and updating relevant presentations

  • Prior experience is not essential. 

Schools Manager and Officer** (2) 

  • Scheduling Robotics workshops with schools and exhibitions.

  • Organising Workshop logistics including record keeping.

  • Promoting relevant events and competitions.

  • Working with volunteers.

  • Replying to emails and returning phone calls.

  • Cold calling/ Emailing to engage new schools.

  • Collecting feedback from schools and relay it to Training Managers 

  • Prior experience is not essential. 

**Non-unimelb students can be nominated for training and schools officer positions.

All roles are expected to attend regular committee meetings and are highly encouraged to spend a minimum of 10 hours attending workshops (subject to change).

The official handover will take place in September after SINE (Seminar Inducting New Executives). Training for each role will be provided between the AGM and the official handover date during which time it is expected that the incoming committee will shadow the outgoing committee and attend regular meetings.

Nominations if you are unable to make the AGM:

If you can't make it on the day you may send an apology and nominate beforehand.

1. Send a short (1min) speech to Olivia at melbourne.secretary@robogals.org

2. Include: who you are, what you're studying, why you want the position and why you'd be a great candidate.

Think about your skills and prior experience that would encourage people to vote for you. When you nominate without being present there's usually a disadvantage as people feel less connected to you so make sure you try to be there or send a great speech in your place! 

If you are nominating for more than 1 position try to tailor the second half of your speech to the position you want.

If you know anyone who'd be good for a role bring them along! Club committees are a great and easy way to get industry relevant skills and experience as well as to make great friends!
