I’ve booked a Facebook post. What do I need to provide?

We’ll need:

  • the text that you want to include (up to 100 words)
  • your website URL and/or Facebook page link
  • an image. Either square (900 x 900 pixels) or landscape (670 pixels wide and 400 pixels high).

Try to minimise any text on your image – use something that students will engage with!

I’ve booked an EDM/eNews spot. What do I need to provide?

Please include:

  • your caption/text (up to 70 words)
  • the hyperlink/URL
  • a landscape image (670 pixels wide and 400 pixels high)
I’ve booked an Instagram spot. What do I need to provide?

Please provide:

  • a static image or 14-second video (1080px by 1920px)
When can I have a promotional stall on campus?

WinterFest Online 2020 in an entirely online festival. There are no on-campus events during this time.

In light of the emerging COVID-19 situation the University is implementing social distancing designed to support a broader campaign to manage the spread of COVID-19. Based on this advice, UMSU Events has suspending its scheduled on-campus events commencing 18 March, as a precautionary measure to help slow the spread of COVID-19, and play our small part in the global response to the spread of the virus. The suspension remains in effect. A decision on reinstatement of this program will be made in response to changes in the broader situation. UMSU will continue to follow expert health advice and will continue to make decisions about its activities which are in the best interests of the health, safety and wellbeing of the entire student community.

What are the dates for WinterFest Online 2020?

WinterFest Online 2020 will run from 27-31 July with our major Carnival event on Wednesday 29 July 2020. Click here to download a PDF of the WinterFest Online 2020 promotional opportunities.

When do I need to book by?

WinterFest Carnival Online 2020 applications close on Friday 3 July 2020. All payments must be received by Wednesday 15 July 2020

For promotions during semester, booking forms should ideally be submitted at least 21 days prior to your required promotion date. Payment is required prior to your promotion.

What happens once I submit my booking form?
  • All promotions must be approved by the UMSU Ethical Committee.
  • We’ll confirm dates, rates and any other specific details with you.
  • An invoice will be issued. Payment must be received by the deadline to secure your place.
  • Bookings are only confirmed once you have received notice from UMSU.

What time is the Winterfest Carnival Online event?

How do I access my online promotional stall space?

Detailed instructions will be sent to you prior to your activation. Please read the Promoter Information carefully.

Can I have food giveaways as part of my promotion?

Yes. Food and drinks can be given away as part of your promotion. Giveaways should ideally be redeemable online. Data gathered in order to distribute giveaways and prizes must not be used for any other purpose.

Can I ‘roam’ or promote outside of my allocated space?

No. Roaming promotions are NOT permitted. You must stay within your dedicated space. Staff will be moderating the online event space to ensure promoters stay within their allocated space.

How many promotional staff can I have in my stall?

A maximum of 5 staff may promote in your online stall.

What else do I need to consider when planning my activation?

Accessibility is a key part of your planning. Ensure everyone can access and take part in your promotion.

Are there other ways to promote my products directly to students?

Giveaways are a great way to spread the word about your business. UMSU has plenty of opportunities for goodies to be shared with students. We are currently accepting deliveries of inclusions in our welcome back packs and in anticipation of the resumption of our daily breakfasts, weekly BBQs, frequent department events and meetings, Welfare food packs and department events. We’re always looking for prizes for Trivia Nights, Awards, Publication Launches, Survey incentives and regular student giveaways.

Social Media promotions are very popular, especially at the start of semester when engagement is especially high.
