1. Date Changes – Relocation + Activation

Relocation Dates, revised:
  • Thur 29 & Fri 30 Sept UMSU Offices
  • Tue 4 Oct UMSU Offices & Info Desk, Ground Floor
  • Thur 6 Oct – CME & all UMSU Store (Arts & Cultural Building, G21)
  • Wed 5 Oct – MFD Fuji Xerox Printers
Activation Dates, revised:
  • Mon 10 Oct – UMSU Staff come inside to unpack, settle in
  • Mon 17 Oct – Building 168 opens to public
Due to outstanding construction works that won't be completed by previously communicated deadlines, we advise that staff continue to work from home for next week, Mon 3 Oct - Fri 7 Oct, unless otherwise advised by your manager. Office items will still be relocated, however, the unpacking and general 'settling in' will take place Mon 10 Oct onward.

As with all new (and refurbished) things – we must contain our expectations. Things in the new building will be less than perfect in many cases. There will be issues. For the case of any clear defects, incomplete works, workflow issues due to current fit-outs, and general building-related issues, there will be a Defect Identification procedure developed for staff. There will be a separate communication for this, closer to the staff commencement date in 168.

In other news, congratulations and well done everyone for a wonderful job on packing up Union House. Everyone has worked very hard, and Ciara can confirm the removalists are already very impressed! We can't wait to see you all in the new building and begin the next phase of UMSU history.
2. 168 Building Access – Key Pick-Up
 
For those of you coming into Building 168 on Mon 3 Oct for essential work, unpacking, and defect identification, Tim will be sitting in the new Info Desk from 8am to sign out your new office keys. Come say hi on your way in! 
 
For everyone who’s office is swipe access, your access is already coded. So really don’t forget your staff card!


3. 168 Building Access – Getting There

Wondering how to get to the new digs? Say no more! There's a handy diagram of the Kane fencing plan below. Entrances on this diagram will be open as of Mon 3 Oct for staff access. Access to Building 168 will be via the Ground Floor lift lobby, which can be accessed via the following pedestrian routes.
  • South Entrance (between BN189 & ERC) – this is an emergency exit only from Mon 3 Oct - Fri 7 Oct.
  • North Entrance (from Monash Road and down the south-east Arts & Cultural external steps)
Additionally, staff can access the building via the link bridges from neighbouring buildings. These are expected to be open by Mon 3 Oct, pending UoM security commissioning.
  • ERC link bridge on Level 1 (emergency exit only from Mon 3 Oct – Fri 7 Oct).
  • Arts & Cultural link bridges on Levels 1, 2 & 3. The Level 1 A&C link bridge leads directly to the new UMSU Info Desk and is the advised entrance to take.
These entrances will be accessible via swipe access only until the building opens to the public Mon 17 October. So bring your staff cards! You can find these entrances marked on the attached Egress Map for all floors. We expect the eastern entrances to open once the north landscape portion completes, from late October 2022. The west entrance opening depends on some remaining fit-out works being completed. Expected opening December 2022

4. Staff + Student Building Access

Union House will remain open and fully accessible to all staff and students for the rest of 2022. All staff will keep their keys, so will be able to access their offices and spaces.

This means if you need to take an appointment with a student, have a room booking, or left something behind that you need to collect, you can do so! If you do find that post-relocation there have been things missed and/or left behind, please contact Ciara to arrange for these to be moved across to Building 168.

5. Events at Union House

Events scheduled in Union House spaces will continue to take place throughout the rest of 2022.

Please note however that UMSU autonomous spaces have been packed up to relocate, and will not be available to students until they open in Building 168 on Mon 17 Oct. OBs are encouraged to please communicate this to your constituents on your socials.
6. Goodbye old phones, hello Jabber

As you would be aware from diligently reading Ciara's NSP Intranet page, UoM will not be providing physical handsets in Building 168. While you are more than welcome to bring across your current handset, we are slowly making the transition to soft phones (a.k.a. replacing the handset with software on your laptop, on which you can make normal phone calls).

For most people, this is a simple case of opening/downloading the CISCO Jabber app and signing in with your normal staff login, and you can find all the info and instructions here. You can also arrange for calls to be forwarded to your mobile instead.

However, access to Jabber requires you to have an existing Telephony account with the Uni. Easiest way to figure out if that is is to try and log in to Jabber. If it doesn't let you in, more likely than not UMSU needs to order you a phone account. 

If this is the case, please get in touch with Tim Lippis who can order you an account. Also, feel free to reach out if you have any other phone questions!

7. Taking Care of Yourself

In the interim as we move, unpack, and settle in – please be patient. Be kind to yourselves and others. This is the single biggest upheaval in UMSU’s 17 year history, and the first move since 1910. Remember to slow down, stop and watch the falcons. Or if you would like more support, speak to a supervisor, P&C, or EAP.

Look after yourself, we will all get through this .
