The University of Melbourne Student Union Inc (UMSU) is a dynamic, for-purpose incorporated association, serving as the representative body for all students at the University of Melbourne. Structured around student control of student affairs, UMSU is governed by an elected Students’ Council and twelve student departments, chosen by and from the student body.

About the role
The Events and Technical Production Officer will play an integral role in the development and delivery of high-quality events that will enhance student life and foster a vibrant campus culture.
Working in the Events & Production team, you will support the planning and implementation of UMSU’s Events and Student Departments led programming, encompassing end-to-end coordination from concept through to delivery. Combining arts administration expertise with on the ground event delivery, the role is integral in working towards UMSU’s mission to provide inclusive, student-led experiences that reflect and uplift the diverse student body.
The Events and Technical Production Officer will support Student Departments to scope and coordinate event concepts — oversee planning, documentation, bookings, and ensuring all technical, operational and compliance requirements are met. The role will work across multiple teams to facilitate smooth on-site delivery for student events across the semesters.
As an organisation providing student-facing services and events, an inherent requirement for this role is the ability to work in person and on site and may require some manual handling of equipment and after-hours work as required. UMSU staff employment conditions are covered by the University of Melbourne Student Union Agreement 2023-2025.

Key Accountabilities
Event delivery and Administration
- Work cohesively with students from diverse backgrounds to support student programming.
- Plans and executes events by coordinating logistics, resources, budgets, and schedules to ensure successful outcomes.
- Support Student Departments with event planning, programming and logistics
- Prepare event planning documentation in consultation with the Events Production Officer.
- Liaise with Communication and Design Department to support website and ticketing information.
- Support on the ground delivery of student-led initiatives and weekly scheduled events.
- Lead post-event reviews, evaluations, and continuous improvement processes in partnership with student reps and stakeholders.
- Prepare reports, proposals and correspondence on events as required.
Production and Technical Service Provision
- Prepare and communicate documentation for the Production department to establish event technical requirements.
- Assist with the preparation, install and pack-down of equipment for student led events.
- Supervise the event site, equipment and materials to ensure that the security of the equipment is maintained.
- Report any equipment damages or failures to appropriate staff in a timely manner.
- Ensuring all technical equipment and systems are set up, operated, and dismantled correctly and safely.
Crew and Stakeholder Management
- Coordinating with UoM services, supervising casual staff and contractors, such as technical crew and front-of-house personnel.
Key Selection Criteria
Essential Skills and Qualifications:
- Diploma level qualifications in event management, sound production, or a related field, with work related experience delivering events and technical services.
- Demonstrated success in delivering small to large scale events, community engagement campaigns and initiatives.
- Strong relationship-building skills with a proven ability to work collaboratively with diverse stakeholders including students, community partners, sponsors, and suppliers.
- Excellent written and verbal communication skills, including experience preparing event planning documentation.
- Highly organised and adaptable, with experience working across multiple projects and meeting deadlines.
- Proficient in Microsoft Office, CRM systems, project management tools, and digital communication platforms.
- Basic skills in the use of audio, music and event production equipment
- Ability to work autonomously.
- Proven ability to operate heavy equipment and safe manual handling in accordance with Occupational Health and Safety standards.
- Current Victorian Driver’s License
- A valid employee Working with Children Check.
Desirable Attributes.
- Experience in arts organisations, student unions, higher education, or student-led organisations.
- Understanding of the principles of student unionism, diversity, and inclusive practice.
- Ability to set up, tune and balance a sound system.
- Experience with microphones and audio mixing consoles for live entertainment.
